Moving Off Paper Route Sheets: Running Bin Cleaning Routes From the Phone
Most bin cleaning companies start on paper. A spreadsheet of customers, sorted by trash day, printed each night and clipped to a board in the truck. It works for the first forty customers. Somewhere after that, it starts to cost more time than it saves.
Where Paper Breaks Down
Growing neighborhoods, as in Growing a Neighborhood Until the Bin Cleaning Route Pays, adds stops every week. Every new stop means editing the spreadsheet, re-sorting, reprinting. The problems pile up:
- The sheet is out of date the moment a customer texts a skip or a new gate code
- Who is due this week is date math in someone's head
- Route order is whatever the person sorting the sheet decided
- Notes live in the margins, and the next tech never sees them
- Completed stops get marked with a pen, then typed back in for billing
- Two trailers mean two sheets, and nobody knows where the other one is
None of it is a disaster on its own. Together, it is an evening every week and a few missed or double-billed stops a month.
What Moves to the Phone
With TrashCanBossPro, the route sheet becomes the tech app. The tech logs in with the company login and a personal PIN and sees the day's stops in route order. Each card has the address with a navigation button, the cans ("2 trash · 1 recycling · Trash day Tue"), the can location notes and any job notes. The tech taps Start, cleans, takes before and after photos and taps Complete, or taps Skip with a reason.
The office side replaces the spreadsheet. Plans come due on their own on the Waiting List map. The Scheduled List shows routes by day and trailer, with auto-routing from the shop. Completing a stop creates the invoice and can charge the card on file, so nobody types the day back in.
Step 1: Get the Customer List In
Export your spreadsheet as a CSV and import it. Then check the map for addresses that landed in the wrong spot and fix them. Add the plan for each customer (weekly, every-other-week or monthly), the can counts and the trash day. If your spreadsheet already has a trash day column, most of the work is done.
Step 2: Move the Margin Notes
Go through your route sheets and your memory and move every note that matters into the can location notes: side of the garage, behind the gate, gate code, dog in the yard. This is the step owners most often skip and most often regret. The notes are what let any tech run any route. Can Location Notes and Gate Codes: Getting to the Cans Fast at Every Route Stop has tips for writing them.
Step 3: Run Both for a Week
For the first week, build the route in TrashCanBossPro and print your old sheet too. Have the tech work from the phone and use the paper as a backup. You will catch missing trash days, wrong can counts and addresses that plot in the wrong place. Fix each one as you find it.
By the end of the week, the paper is rarely looked at. Drop it.
Step 4: Turn On the Customer Side
Once routes run from the phone, turn on the customer-facing pieces: automated night-before reminders, on-the-way and arrived texts, and the customer app with its live route map. Customers notice right away. The "did you come today?" calls drop, and fewer cans get put away early.
Step 5: Train the Crew in One Ride-Along
The tech app runs in the browser on iPhone and Android, and can be installed to the home screen, so there is nothing to buy. Ride along for a morning: log in, look at the first card, tap the navigation button, Start, photos, Complete. Show a Skip with a reason. By the third stop most techs have it. The time clock is on the same phone, so clocking in replaces whatever you were doing before.
What You Get Back
The evening spent sorting and printing becomes fifteen minutes on the Waiting List. The double entry for billing disappears. Notes stop living in one person's head. And when you add a second trailer, you add a tech with a PIN, not a second clipboard. You are never billed per user, so the whole crew gets the app.
The Short Version
Import the list, move the margin notes into can location notes, run paper and phone side by side for a week, then turn on reminders and train the crew in a ride-along. For the full set of routing tools, return to the bin cleaning route software page.
