Getting Paid as the Route Runs: Card-on-File Charges at Each Bin Cleaning Stop
A bin cleaning route can be twenty or thirty stops a day. If each one turns into an invoice you build by hand on Friday night, billing becomes a second job. Worse, the money comes in days or weeks after the work. Tying payment to the route fixes both.
Complete Means Billed
The Complete button in Start, Skip, Complete: Closing Out Every Stop on a Bin Cleaning Route does more than mark a stop done. In TrashCanBossPro, completing a job creates the invoice, with line items and sales tax, and can charge the customer's card on file right then. By the time the trailer pulls away from the curb, the stop is paid for.
For the tech, nothing extra happens. They tap Complete as usual. The billing follows the route without anyone in the office touching it.
Getting the Card on File
Charging on completion only works if there is a card to charge. The easiest time to get it is at sign-up. The TrashCanBossPro sign-up form on your website captures the customer's card along with their details, and when you convert the sign-up into a client with one click, the card comes with it.
For existing customers who pay by check or after the fact, ask them to add a card. Customers can update their card on file themselves in the customer app. A short text explaining the change, such as "We're moving to automatic billing after each cleaning, please add a card in the app," brings most of them over.
On Completion or on a Schedule
Not every customer should be charged per stop. TrashCanBossPro supports auto-charge on completion or on a schedule:
- On completion suits one-time cleanings, add-ons and customers who pay per visit.
- On a schedule suits subscription customers who pay a set monthly amount for their plan, regardless of how many visits fall in the month.
Pick the approach that matches how you price. Many bin cleaners use both: subscriptions on a schedule, extras on completion.
HOAs and Property Managers
Large accounts are different. An HOA or property manager set to Monthly account billing gets one statement each month covering every address they own, each line labeled with the address. The route runs the same way, each home or corral completed by the tech, but the billing rolls up into a single statement instead of forty separate invoices. See HOA, Apartment and Dumpster Pad Stops on a Residential Bin Cleaning Route.
Customers Without a Card
Some customers will not keep a card on file. For them, the invoice is created on completion and the customer can see it and pay online in the customer app. That is still much faster than mailing a bill.
When payments do not come in, past-due follow-up keeps them from slipping. It is far easier to collect one overdue cleaning than three.
Failed Charges
Cards expire and get replaced. When a charge on completion fails, the invoice is still there and the job is still done. The office should check for failed charges at the end of each route day, text the customer, and point them to the customer app to update their card. Catching it the same day, while the clean cans are fresh in the customer's mind, makes the conversation easy.
Make it part of the end-of-day routine for whoever runs dispatch. A few minutes a day keeps a small problem from becoming a stack of unpaid cleanings.
Skips Don't Bill
A skipped stop is not completed, so it does not create a per-visit invoice. That keeps billing honest: customers are not charged for cans that were still full or already put away. If your policy is to charge for a trip when a customer brings the cans in after being reminded, the tech can complete the stop with a note instead, and the photo of the empty curb backs it up. For subscription customers billed on a schedule, decide in your terms how missed visits are made up.
Money That Keeps Pace With the Route
The real benefit is timing. When payments follow the route, a busy week is a busy week in the bank too. You are not floating a month of work while invoices sit in a pile. The office spends its time on the few payments that need attention rather than on billing every stop.
It also helps when you grow. Adding a second trailer doubles the stops, not the billing work, because each completed stop bills itself.
The Short Version
Capture the card at sign-up, charge on completion for per-visit work and on a schedule for subscriptions, give HOAs one monthly statement, let card-less customers pay online in the app, and let skips stay unbilled.
