Adding Addresses as a Commercial Bin Cleaning Account Grows
The best thing a commercial account can do is grow. A property manager takes on five more rentals. An HOA adds a new phase with forty homes. A restaurant group opens a fourth location. Each new address is new revenue with no new sales cost. The only question is whether adding it is easy enough that the customer keeps sending them.
Growth Starts With a Quote or a Text
Bigger changes start with a new estimate, as described in Quoting Commercial Bin Cleaning Work With Online Approval. A new HOA phase or a new restaurant location deserves a proper quote. But a lot of growth is smaller: one rental, one more pad. Those usually arrive as a text from the manager.
Either way, the address goes under the existing client. Never create a new customer for a new address on an account you already have.
What to Collect for a New Address
Before the first cleaning, get the same details you have for every other address on the account:
- The street address
- Number of trash, recycling and yard waste cans
- The city trash pickup day
- Can location: side of the garage, behind the gate, inside the corral
- Access notes: gate code, lockbox, site contact, time window
- Which service and plan it gets, if different from the others
Many managers will text half of this. Text back for the rest. A missing trash day means the address gets scheduled on the wrong day, and a missing gate code means a skip on the first visit.
How a New Address Joins the Route
Once the address is added under the client with its service and plan, it starts coming due on the Waiting List like any other. Its trash day tells whoever builds routes which day it belongs on. Assign it to the trailer already serving that area, and auto-route or set the order on the dispatch board.
The crew sees the new address on their phone with its cans and notes. They do not need to know it is new. That is the point.
How It Joins the Statement
If the account is set to Monthly billing, the new address simply shows up on the next statement as its own labeled line. No new invoice to send, no new payment to set up. The manager sees it right next to her other rentals. If the account pays by card on file, the same card covers it.
If the new address was added mid-month, decide whether it bills a full month or only the cleanings done. Either is fine if the manager knows which. Write your rule on the account so the office handles every mid-month addition the same way, and the manager is never surprised by a partial charge.
Big Batches
When an HOA adds a phase or a manager takes over a whole portfolio, typing addresses one at a time is slow. Ask for the list as a spreadsheet and import it as a CSV. Then fill in can counts and trash days where the list did not have them. More on that in Importing an HOA or Property Manager Address List Into Your Bin Cleaning Software.
After a big import, check the Waiting List map. Any address that landed in the wrong place or is missing a trash day will stand out.
Removing Addresses
Accounts shrink too. A rental is sold, a restaurant location closes, an HOA area is taken over by the city. When a manager tells you an address is gone, stop its service so it stops coming due, and make sure any final cleaning is on the statement. Keep the address history; you may need the photos later if anyone questions the last few months.
Make It Easy to Grow
The easier it is to add an address, the more addresses you get. A few habits help:
- Tell every manager, in your welcome message, that adding a property is just a text
- Reply fast when they do, using two-way texting from the office
- Confirm the first cleaning date for the new address
- Make sure the new address is on the very next statement
A manager who adds a rental with one text and sees it on the next statement will keep doing it. One who has to fill out a form for each address will start calling your competitor down the street.
