Card on File or Check? Setting a Payment Policy for Commercial Bin Cleaning Accounts

Residential bin cleaning has an easy answer for payment: card on file, charged when the job is completed or on a schedule. Commercial accounts are not so simple. Some will happily hand you a card. Others have a treasurer, a payables department or a board rule that says vendors get paid by check. You need a policy before the first statement goes out.

Statements Come First

The statement itself is covered in Monthly Statements for HOA and Commercial Bin Cleaning: One Statement, Every Address. This article is about what happens after it is sent: how the money actually reaches you.

There is no right answer for every company. There is only your policy, applied consistently and written into the quote.

The Case for Card on File

A card on file is the cleanest way to get paid. TrashCanBossPro can charge the card when a job is completed or on a schedule, such as when the monthly statement is created. No chasing, no mailbox, no waiting for a board meeting to sign checks.

Card on file works well for:

The cost is the card processing fee on every charge. Some owners build that into their commercial prices; others offer a small discount for paying by check. Either is a business decision, not a software one.

The Case for Check

Many HOAs, schools, churches and larger management companies will not keep a card on file with a vendor. Their money moves through a payables process with approvals, and checks or online payments against a statement are how they work. Refusing to accept checks can cost you the contract.

Check accounts work well when:

When a check arrives, record the payment against the statement so the account shows paid. The customer can also see invoices and pay online in the customer app if they prefer that to mailing a check.

Write the Policy Into the Quote

The time to set payment terms is before the work starts, not when the first statement is late. Put it right on the estimate that the customer approves online: "Billed monthly on one statement. Payment due within 30 days by check or online, or card on file charged on the statement date."

Once approved, add a custom field on the client for payment terms so the office does not have to dig up the quote to answer the question. Tag accounts Monthly so they are easy to filter.

A Simple Policy Many Owners Use

Here is one approach that works for a lot of small companies:

It is your company, so adjust the rules. The important thing is that you have rules, and that the office applies them the same way to everyone.

Following Up on Late Payments

Check accounts pay late sometimes. A treasurer is on vacation, a statement sat on a desk. Past-due follow-up reminds the account automatically, and two-way texting lets you nudge the manager directly. More on keeping that friendly in Past-Due HOA and Commercial Bin Cleaning Accounts: Following Up Without Losing the Contract.

Updating Cards

Cards expire, and company cards get replaced when someone leaves. A declined charge on a commercial account is usually an expired card, not a customer who will not pay. The customer can update the card in the customer app, which saves your office a phone call taking card numbers.

When a charge fails, send a short, friendly text from the office rather than waiting for the next statement: "The card on file for your account was declined this morning. You can update it in the customer app, or reply and we'll help." Most managers fix it the same day. If a card account declines over and over, that is a sign to talk about terms, not to keep retrying. Either way, the crew keeps working the route while the office sorts out the billing.

Next Steps

Decide your policy, put it in the quote and apply it the same way every time. For the rest of the commercial billing tools, see the commercial bin cleaning software page.
