Locked Gates and Missing Cans: Handling Skipped Commercial Bin Cleaning Stops
Every commercial route has stops that cannot be done. The corral gate code changed. The cans at a rental were never put out. A delivery truck is parked across the restaurant pad. Skips are part of the job. What turns them into lost accounts is silence: the crew drives off, nobody tells the manager, and the first anyone hears of it is a complaint to the board.
Skips Affect What You Charge
Whatever pricing you settled on in Pricing HOA and Commercial Bin Cleaning: Per Can, Per Pad and Per Address, skips eat into it. The trailer drove there either way. Handling skips well protects your margin as much as it protects the relationship.
Skip With a Reason, Every Time
In the TrashCanBossPro tech app, every job card has Start, Skip and Complete. When a crew cannot do a stop, they tap Skip and write why. Good skip reasons are short and specific:
- "Gate code not working"
- "Cans not out"
- "Truck parked on pad"
- "Past time window, lunch service started"
- "Enclosure padlocked, no key in lockbox"
- "No cans at address"
A photo backs it up: the locked gate, the empty curb, the truck. The skip and its reason land in the office right away.
Before Skipping, Try the Notes
Many skips can be avoided if the crew reads the address notes. The lockbox spot, the site contact's number, the "cans are behind the side gate" note. Train crews to check the notes and, for a quick fix, call the site contact before skipping. A two-minute call that opens a gate beats a return trip. Good notes are covered in Site Contacts and Access Notes for Commercial Bin Cleaning: Keys, Lockboxes and Gate Codes.
Same-Day Follow-Up
The office should look at skips during the day, not at month end. For each commercial skip, text the right person with what happened and what you will do:
- To a manager: "Crew couldn't get into the north corral at Oak Hollow, code didn't work. Can you send the new one? We can come back tomorrow."
- To a site contact: "Truck was on the pad this morning. Can we come back at 2?"
Two-way texting from the office keeps the conversation in one place. When the manager replies with a new code, update the address notes so it is right for every future visit.
Return Visits
Decide which skips earn a return visit. Common approaches:
- Your fault or access problems (wrong code, locked gate): come back as soon as practical
- Customer's side (cans not out at a rental): note it and clean next cycle, unless the account pays for returns
- Blocked pads: come back that week, since a pad that skips a cycle gets bad fast
For a return visit, put the job on another day on the dispatch board and assign it to a trailer that will be nearby.
Do Skips Bill?
This is the question that causes the most friction, so settle it in the quote. Some companies bill every address on an HOA account regardless of skips, because the trailer came and the reminder went out. Others credit skips caused by the customer and redo the ones caused by access problems. Write your rule into the estimate the customer approves online and into a custom field on the account.
At month end, review skips before the statement goes out so it matches your rule.
Patterns Are Problems to Solve
One skip is an event. The same skip every month is a pattern. If the same five rentals never have cans out, tell the manager; she can talk to the tenants. If a restaurant is past its window every week, your route order is wrong. If gate codes keep failing, ask the account to text you whenever they change. Looking at skip reasons by account once a quarter tells you which problems to fix.
Train Crews to Skip Well
A good skip takes thirty seconds: check the notes, call the site contact if the fix is quick, then tap Skip, write a clear reason and take a photo. A bad skip is a blank reason and a crew that drove off. New crew members need to hear that skipping is not a failure as long as it is done right. What gets them in trouble is skipping without a reason, or cleaning anyway inside a restaurant's lunch rush. Walk them through one real skip on their first week so they know exactly what the office needs.
Next Steps
Skip with a reason, follow up the same day, and fix the patterns. For the rest of the commercial toolkit, see the commercial bin cleaning software page.
