What the Office Sees When a Bin Cleaning Tech Completes a Stop
The tech taps Complete and moves on to the next driveway. To the tech, that is the end of the stop. To the office, it is the start of several things that used to take a phone call, a spreadsheet and a stack of invoices. Here is what shows up on the office side the moment that button is tapped.
The Map Shows Where, the Stop Shows What
Crew GPS on the Office Map: Knowing Where Every Bin Cleaning Trailer Is covers where the tech is. This article covers what the office sees about the work itself.
When the tech taps Complete, the stop is marked done on the office lists and the dispatch board. Anyone in the office can see, without asking, which stops are finished, which are underway and which are still ahead.
Photos and Notes on the Stop
The before-and-after photos the tech took are attached to the stop. So are any notes. That means the office can open any completed stop and see:
- What the cans looked like when the tech arrived.
- What they looked like when the tech left.
- Anything the tech noted, like a cracked lid, a new can at the curb or a customer request.
That record is there today, next week and next year. When a customer calls with a question about a cleaning from three weeks ago, the answer is a few clicks away.
The Invoice Is Already Made
Complete creates the invoice for the stop, with line items from your service list and sales tax where it applies. If the customer has a card on file and is set to auto-charge on completion, the card can be charged. The office sees the invoice and the payment without typing anything.
For monthly accounts, like an HOA or a property manager, the completed stop rolls into that client's monthly statement, labeled with the address. At the end of the month, one statement covers every address they own.
The Next Cleaning Comes Due on Its Own
Recurring plans in TrashCanBossPro are set by minimum days between visits: 7 for weekly, 14 for every other week, 28 for monthly. When a stop is completed, the clock starts on the next one. When enough days pass, the address shows up on the Waiting List again.
The Waiting List is a live map and list of every cleaning that has come due. Pins are colored by status: not due yet, due now, or overdue past a seven-day grace. The office does not have to remember who is due. The map shows it, and the office assigns those stops to a trailer and day.
This is the part that keeps a subscription business running. A weekly customer cleaned on Tuesday shows up again the following Tuesday. A monthly customer cleaned on the 3rd shows up again about four weeks later. Nobody keeps a calendar of renewals or a spreadsheet of who is due. The completed stop itself sets the next one in motion.
Skips Show Up Too
Not every stop ends with Complete. When a tech skips, the office sees the skip with the tech's note and any photo. “Cans still full at 2pm.” “Gate code did not work.” The office can text the customer, update the address and move the stop to another day.
Seeing skips the same day matters. A skip that waits until Friday to be noticed is a customer who went a whole week thinking they were cleaned, or wondering why they were not.
What Changes for the Office
Before a tech app, the office learned about the day in pieces: a text here, a call there, a route sheet dropped on the desk at 5pm with scribbles in the margin. Invoices got built from those scribbles. Questions got answered by calling the tech who was there.
With completed stops flowing in from the phones, the office works from facts as they happen. The person answering the phone can tell a customer “your cans were cleaned at 1:42, here is the photo.” The person doing billing sees invoices already created. The person planning next week sees the Waiting List filling up on its own. That is a lot of work removed, and it is why Cutting Callbacks: How the Tech App Stops 'You Never Cleaned My Cans' Calls is possible at all.
