One Monthly Statement for an HOA: Billing Every Address on a Single Bill

An HOA contract can be the best account on your route. Dozens of homes on a few streets, one trash day, one decision-maker, one payment. But it only stays a good account if the billing fits how the HOA works. And HOAs do not want forty invoices.

Why HOAs Need a Different Bill

Like sales tax in Sales Tax on Bin Cleaning Invoices: Set It Up Once and Get It Right, HOA billing is something you set up once and then leave alone. The difference is in who pays.

With a homeowner, the person whose cans you clean is the person who pays. With an HOA, the board or management company pays for every home in the community. They usually need to approve a bill, often at a monthly meeting, and they need to see what they are paying for. A separate charge for every house makes that nearly impossible.

One Client, Many Addresses

In TrashCanBossPro, one client can have many addresses. Set up the HOA as the client, then add each home, the clubhouse, the pool area and any common dumpster pads as addresses under it. Each address keeps its own details: number of trash, recycling and yard waste cans, the city trash day, and can location notes like "cans on the side of the garage" or a gate code.

That means the tech still sees each home as its own stop in the tech app, with its own cans and notes. The route runs exactly like any other street. Only the billing is grouped.

Set the Account to Monthly

Set the HOA's billing to Monthly. Instead of an invoice for every cleaning, the HOA gets one statement each month covering every address on the account. Each line on the statement is labeled with its address.

So a statement might show 112 Oak Ridge Court cleaned twice, 118 Oak Ridge Court cleaned twice, the clubhouse dumpster pad washed once, and so on. The board can scan it, check a few addresses against their own list, and approve it.

The work is still recorded visit by visit, with photos, so if a board member asks about a specific house, you can answer with the date and the photo.

What to Agree On Before the First Statement

HOA contracts go smoothly when the paperwork is settled up front. Agree on:

Homeowners Who Want Extras

Some homeowners in an HOA will want more than the HOA pays for, like a deodorize treatment or a third can. Those extras should not go on the HOA's statement. Set those homeowners up as their own clients for the add-on, with their own card on file, so the HOA pays for what it agreed to and the homeowner pays for the rest.

Talk to the HOA about this up front. Most boards are happy for homeowners to buy extras directly, as long as it does not show up on the community bill.

Routing an HOA

An HOA usually shares one trash day across the neighborhood, which makes routing simple. On the dispatch board, put the whole community on one trailer on the day after pickup and auto-route it. Customers who opt into alerts can get the night-before reminder to leave cans out, and the customer app shows the live route on cleaning day.

For property managers who own homes spread across town rather than in one community, the setup is similar but the routing is not. Read Billing Property Managers for Bin Cleaning: Many Addresses, One Account for that version.

Before each board meeting, it is worth a quick check that the statement matches the list of homes the HOA expects. A board that never finds a mistake on your bill is a board that renews the contract.

When board members change, introduce yourself to the new treasurer and show them how the statement reads. A smooth handoff keeps the payments on schedule.

The Short Version

Set the HOA up as one client with every home as an address, set billing to Monthly, and send one statement with each line labeled by address. Bill homeowner extras separately. For more billing guides, head back to the trash can cleaning billing software page.
