Winning Back Cancelled Trash Can Cleaning Subscription Customers
The cheapest new customer you will ever get is an old one. They already know what you do, they have already paid you, and you already have their address, cans and trash day on file. Most bin cleaning companies never ask cancelled customers to come back. The ones that do usually find it is one of the best-paying hours of their month.
Start With a Clean Cancellation
A win-back only works if the customer left on good terms and you kept their record, as described in Trash Can Cleaning Subscription Cancellations: What to Do When a Customer Quits. If you tagged them as cancelled and wrote down why, you already have the list you need.
Not every former customer is worth contacting. Someone who moved out of your area is gone. Someone who cancelled after a billing dispute may need a different approach. But customers who left because of price, the season or a temporary money squeeze are often happy to come back when the timing is right.
Find Them by Tag
In TrashCanBossPro, tags make the list easy to pull. If you tag cancelled clients when they leave, say “Cancelled” plus the reason in the notes, you can filter your client list to just those customers whenever you are ready to reach out.
Some owners use more specific tags, like “Cancelled - Winter” or “Cancelled - Price,” so they can send different messages to different groups. Keep it simple enough that the office actually uses the tags every time. More on tag setups in Using Tags to Organize Recurring Bin Cleaning Plan Customers.
Timing Is Everything
The best time to win back a bin cleaning customer is when their cans start to smell again. For most of the country, that means:
- Late spring. The first warm weeks, when odors and flies come back.
- Early summer. Right before or after a big holiday cookout weekend.
- After a heat wave. When everyone on the street is noticing their cans.
A customer who cancelled in November because the cans did not smell is a very different person in June. Reach out then, not the week after they left.
What to Say
Win-back messages work best when they are short, personal and specific. Two-way texting from the office lets you send them one at a time and handle replies directly. A few examples:
- “Hi Karen, it's Mike from the bin cleaning crew. We're back on your street every Tuesday this summer. Want us to start your monthly cleaning again?”
- “Summer's here and the cans are getting ripe. We still have your address on file and can add you back to next week's route.”
If they left over price, a modest welcome-back offer can help: a discounted first cleaning, no startup fee, or a lighter plan than they had before. Keep it simple and put the price in the message.
Be mindful of how often you text. One well-timed message a season is fine. Weekly messages to people who already said no will hurt your reputation and your texting allowance.
Restarting the Plan Takes a Minute
Because you kept the record, bringing a customer back is quick. Their address, cans, trash day, can location notes and gate code are all still there. Add the recurring service back to the address with the right days between visits, confirm the price, and update the tag.
If their card on file has expired, they can add a new one in the customer app before the first cleaning. Schedule that first cleaning from the Waiting List on their next trash day, and the plan runs on its own from there.
Make Them Glad They Came Back
A returning customer is watching closely. Make the first cleaning a good one. Send the reminder the day before. Take before and after photos. Treat the first visit like a deep clean if it has been a while. If they left because of a service problem, make sure that problem is fixed.
A customer who comes back and has a great experience is often more loyal than one who never left.
Track What Works
Keep a simple note of who you contacted, when and what you offered. After one season you will know which message gets replies and which reasons for cancelling are worth a second ask. Update the tag when a customer comes back, so your win-back list stays accurate for next year.
Ask, Then Ask Again Next Year
Tag cancelled customers, reach out when the cans start to smell and make coming back easy. Not everyone will say yes, but the ones who do cost almost nothing to win. For more on recurring plans, visit the trash can cleaning subscription software page.
