HOA and Multi-Address Bin Cleaning Subscription Plans
A single HOA or property management account can put dozens of addresses on your route in one decision. That is the appeal. The challenge is that these accounts work differently from homeowners: a board approves the contract, someone else pays the bill, and the people who live there may have their own opinions. Set them up right and they become some of the steadiest plans you have.
Bigger Accounts, Bigger Plans
Homeowners interact with you through the tools in What Your Trash Can Cleaning Subscribers See in the Customer App. HOAs and property managers need more: a quote the board can approve, a clear list of addresses, and one bill a month. TrashCanBossPro handles that with one client, many addresses and monthly account billing.
Types of HOA and Multi-Address Plans
Multi-address work usually falls into one of a few types:
- Common area service. The HOA pays for cans and pads at the clubhouse, pool, park and entrance. Often weekly or every-other-week.
- Community-wide resident service. The HOA pays for every home's cans as part of dues. Usually monthly.
- Property manager portfolios. A manager with rental homes or small buildings across town, each with its own cans.
- Apartment and condo complexes. Shared dumpster pads and cart corrals, often weekly.
Each type has the same basic setup but different frequencies and pricing.
One Client, Many Addresses
In TrashCanBossPro, the HOA or management company is one client. Each property, common area or home is an address under it. Every address carries its own:
- Trash, recycling and yard waste can counts
- City trash pickup day
- Can location notes and gate codes
- Recurring plan with its own days between visits
That means the clubhouse can be weekly while the homes are monthly, all under one account. Each address comes due on the Waiting List on its own schedule, and you route them by trash day with the rest of your work.
Quote With an Estimate
Boards and managers want a written quote before they commit. Build an estimate from your service list with each address or group of addresses as a line. The customer approves it online, and the approved estimate becomes their scheduled services.
Pricing for multi-address work is your call. Many operators offer a lower per-home price for community-wide programs because the stops are next to each other and the route is extremely tight. Common area pads are often quoted per site per visit. Use your own costs to decide, and put the terms, like length of agreement and notice to cancel, in writing.
One Statement a Month
Set the client to Monthly billing and they receive one statement each month covering every address, each line labeled with its address. A board treasurer can see exactly what was done where. A property manager can split the cost by property. For more detail, see Monthly Billing for HOA and Property Manager Bin Cleaning Subscription Accounts.
Before and after photos from the tech app stay with each completed job, so if a line is ever questioned, the proof is a click away.
Working With Residents
For community-wide programs, the residents are not the ones paying, but they are the ones putting cans out. A few habits help:
- Ask the HOA to announce the program and the cleaning day in its newsletter.
- Clean on the community's trash day, when cans are already at the curb.
- Use clear notes for each home where cans are kept somewhere unusual.
- When a home's cans are not out, the tech taps Skip with a reason, so the HOA can see which homes were missed and why.
Residents who like the service may also want extras, like a pad cleaning or more frequent cleaning for their own home, which can be sold to them directly as their own client.
Keep the Board Happy
HOA contracts come up for renewal, and boards change. Keep a short record of the account's history, send a brief update at renewal time and answer questions quickly. Tag the client as HOA so the whole office knows it is a high-value account.
Plan the Crew for a Big Account
A community-wide program can add dozens of stops on a single trash day. Before you sign it, look at the Waiting List and the dispatch board and make sure that day has room. You may need a second trailer on HOA day, or to move other work around it. Auto-routing from the shop helps you see how long the route really is before you promise a cleaning day to the board.
Dense Routes, Steady Revenue
HOA and multi-address plans pack many cleanings into short routes and one monthly bill. Set them up as one client with many addresses, quote with an estimate and bill monthly. For more on recurring plans, visit the trash can cleaning subscription software page.
