Move-Out Bin Cleaning for Property Managers: Turnover Requests That Don't Get Lost
When a tenant moves out, they leave things behind. Sometimes it is a couch. Almost always it is a trash can with three weeks of rotting food stuck to the bottom. The property manager needs the rental ready to show, and nobody wants to tour a home with a can that smells from the driveway. That is a job for you.
A Different Kind of Stop
Most commercial stops are recurring, and a skipped one gets handled the way Locked Gates and Missing Cans: Handling Skipped Commercial Bin Cleaning Stops describes. Move-outs are the opposite: one-time, urgent and tied to someone else's schedule. The manager has painters, cleaners and a showing lined up, and your cleaning is one piece of that.
The risk is not the work. It is the request getting lost between a text, a voicemail and a sticky note.
Make Move-Out Cleaning a Service
Put "Move-out deep clean" on your service list as its own one-time service, priced for what it is. A can that has sat full in the heat for weeks takes longer than a monthly cleaning. Some companies include the recycling and yard waste cans at that address in one price; others price per can.
Once it is on the service list, it can be added to any address on the manager's account in a few clicks, and it bills like any other service.
How Managers Request It
Give managers two easy ways:
- Text the office. "Tenant out at 418 Elm, need cans cleaned before Friday." Two-way texting from the office means anyone on your team can see and act on it.
- The customer app. Managers can request service from the customer app, which lands in the office instead of on someone's personal phone.
Whichever way it arrives, the office adds the one-time job to that address right away and replies with the date. That reply is what makes a manager trust you with the next one.
Scheduling Around the Turnover
Ask two questions: when is the tenant fully out, and when is the first showing or move-in? Clean in between. If the city trash pickup is in that window, clean after it, so the can is empty when you get there. The trash day is already on the address.
Put the job on the dispatch board on the right day and assign it to a trailer that will already be nearby. A move-out at a rental on Tuesday's side of town rides with Tuesday's route. If the rental also has a recurring plan, consider whether the move-out clean replaces this month's regular cleaning or comes in addition. Tell the manager which.
Notes for an Empty House
Vacant rentals have their own access quirks. The gate may now be padlocked, the cans may be in the garage, the lockbox code may have changed for the turnover. Add a note on the address for this visit: "Vacant, cans in garage, lockbox code in notes for this week only." After the new tenant moves in, update the notes again.
Photos Matter More Here
A move-out can is the most dramatic before and after you will take. It is also the one most likely to be questioned, because the manager may pass the cost to the departing tenant's deposit or to the owner. Have the crew take before and after photos in the tech app, including one looking into the can. They are saved with the job at that address and date, ready if anyone asks.
On the Statement
If the manager's account is set to Monthly billing, the move-out cleaning shows up on the one monthly statement as its own line, labeled with the address. Her bookkeeper sees "418 Elm St — Move-out deep clean" and knows exactly which owner or deposit to charge it to.
If the account pays by card on file, the card can be charged when the job is completed or on the statement date, depending on how you set it up.
Turn One-Offs Into More Work
A manager who sees fast, photographed move-out cleanings will start asking about regular service for the whole portfolio. If the rental does not already have a recurring plan, the move-out is a good time to suggest one for the new tenant.
