Trash Can Cleaning Software: The Complete Guide for Bin Cleaning Companies
Most bin cleaning companies start the same way. A trailer, a pressure washer, a Facebook post, and a spreadsheet with names, addresses and a column that says "Tues" or "Fri." It works for the first fifty customers. Somewhere past that, the spreadsheet starts losing people, the texts pile up, and a month goes by where half the customers never got charged.
Trash can cleaning software is what replaces that setup. This guide walks through what it does from end to end, who it is for, and what to look for. It is the starting point for everything on the trash can cleaning software overview page.
What the Software Has to Do
Bin cleaning looks simple from the street. Pull up, clean the cans, drive to the next house. The business behind it has more moving parts than most owners expect:
- Every address has a different number of cans: trash, recycling, sometimes yard waste.
- Every address has a city trash pickup day, and the cans are only worth cleaning right after they are emptied.
- Most customers are on a plan: weekly, every other week or monthly. They come due again on their own schedule.
- The tech needs to know where the cans sit, what the gate code is, and what order to drive.
- The customer needs a reminder to leave the cans out, and the company needs to get paid without sending a hundred invoices by hand.
Good trash can cleaning software handles all of that in one place. TrashCanBossPro was built around those exact jobs.
Cans and Trash Day on Every Address
The foundation is the address. In TrashCanBossPro, each address stores the number of trash, recycling and yard waste cans, the city trash pickup day, and can location notes such as "left side of the garage" or "behind the side gate, code 4410."
That information shows under the address wherever it appears: on the office lists, on the dispatch board and on the tech's phone. A typical line reads "2 trash · 1 recycling · Trash day Tue." Nobody has to open a notes field or call the owner to find out how many cans to expect. One client can also have many addresses, which matters once you start picking up rental owners and property managers.
Recurring Plans and the Waiting List
Recurring revenue is the whole point of a bin cleaning business. Plans in TrashCanBossPro are set by the minimum number of days between visits: 7 for weekly, 14 for every other week and 28 for monthly.
When that time has passed, the cleaning comes due on the Waiting List, a live map and list of every cleaning that is due. Pins are colored by status: not due yet, due now, or overdue once a cleaning is more than seven days past its due date. You do not rebuild next month's schedule by hand. Plans come due on their own, and the map shows you what needs to go out. For more on how the plan types work, read Recurring Plans in Trash Can Cleaning Software: Weekly, Every Other Week and Monthly.
Routes Built Around Trash Day
The city empties the cans on trash day. The best time to clean them is right after. So the smart route is built around trash day: the streets that put cans out Tuesday get cleaned Tuesday afternoon or Wednesday morning.
TrashCanBossPro's Scheduled List, the dispatch board, shows jobs by day. You assign due cleanings to a day and a trailer, filter the board by trailer or truck, then auto-route Closest First or Furthest First from the shop. You can also drag stops into your own order. Whatever order the board shows is the order the tech sees on the phone.
The Tech App
Your techs run the day from their phones. The tech app runs in the browser on iPhone and Android and can be installed to the home screen. Techs log in with the company login and a personal PIN.
They see the day's jobs in route order. Each card shows the address with a navigation button, the cans and can location, and any notes. The tech taps Start, Skip or Complete, takes before and after photos, and the customer gets automatic "on the way" and "arrived" texts. When the job is completed, the invoice is created and the card on file can be charged. The same app has a time clock, and crew GPS shows on the office map.
The Customer App, Texting and Reminders
The most common missed cleaning is a can that went back in the garage before the trailer showed up. Automated reminders fix most of that: "We clean tomorrow, leave the cans out." Customers choose their alerts: the night before, when they are next, and when the tech arrives.
The customer app shows today's route on a live map ("You're stop 12 of 20, the crew is 5 stops away"). Customers can request service, sign up for services, update their card, see invoices and pay, rate the cleaning and refer a neighbor. The office has two-way texting with customers, and every plan includes a monthly text allowance: 500, 1,000 or 2,000 segments sent and received on Start, Pro and Crew.
Billing, HOAs and Commercial Accounts
Billing is where spreadsheets fail hardest. TrashCanBossPro creates invoices with line items and sales tax, keeps a card on file, and auto-charges either when the job is completed or on a schedule. Customers can pay online from the customer app, and past-due follow-up keeps unpaid invoices from slipping.
HOAs, apartment complexes, property managers and businesses with dumpster pads work differently. Set one of those accounts to Monthly and it gets one statement each month covering every address it owns, with each line labeled by address.
Sign-Ups, Clients and Switching Over
New customers come in through a website request form or a sign-up form that captures the card. Both land in Form Responses, and one click converts a sign-up into a client. For bigger jobs you can build an estimate from your service list, the customer approves it online, and the approved estimate becomes scheduled services.
Clients can carry tags like Monthly, Every-Other-Week, HOA and Commercial, plus custom fields. If you already have a list in a spreadsheet, import it with a CSV. Most companies can be set up in a day, as covered in Getting Set Up on Trash Can Cleaning Software in One Day.
Who It's For and What It Costs
The same system works for a one-trailer owner-operator and a company running several trailers. The solo owner runs the route, the texts and the billing from one phone. The bigger company adds employees with PINs and trailer assignments, office user roles, reports and crew GPS. TrashCanBossPro works in the US, Canada, Australia, New Zealand and the UK and bills customers in their own currency.
Plans are Start at $59 a month, Pro at $89 and Crew at $199. You are never billed per user, and every plan starts with a 14-day free trial with no credit card. Before you commit to anything, run through The Trash Can Cleaning Software Buyer's Checklist.
