Scheduling Commercial Bin Cleaning Stops Around Business Hours

A residential route only cares about one clock: the city trash truck. Clean after pickup, before the cans go back in the garage. Commercial stops add a second clock: the customer's business hours. A restaurant does not want a pressure washer by the back door at noon. A school does not want a trailer in the bus lane at 3pm. Getting both clocks right is what separates a good commercial route from a string of complaints.

Payment Policy Set, Now the Schedule

With payment terms settled as described in Card on File or Check? Setting a Payment Policy for Commercial Bin Cleaning Accounts, the day-to-day becomes about timing. Here is a simple way to handle it.

Clock One: The Hauler

Whether it is the city truck for an HOA or a private hauler for a restaurant dumpster, you want to clean right after things are emptied. Each address in TrashCanBossPro holds its city trash pickup day, and it shows on the lists and on the crew's phone. For commercial addresses served by a private hauler, ask the customer for the pickup days and record them the same way, with any detail in the notes ("dumpster emptied Mon and Thu early AM").

That gives you the day. The business hours give you the time.

Clock Two: The Customer's Window

Every commercial address should have its time window written in the access notes. Common ones:

Write it plainly: "Before 10am only. Kitchen manager arrives 9:30." It shows on the crew's phone and on the office lists, so whoever builds the route sees it.

Building the Route

Commercial cleanings come due on the Waiting List along with everything else. When you assign them to a trailer and a day on the dispatch board, think in blocks:

Set the order by hand for the stops with tight windows, then use auto-route, Closest First or Furthest First from the shop, for the rest. The tech app shows the crew the same order. If you also run residential, see Mixing Residential and Commercial Bin Cleaning on the Same Routes.

When the Two Clocks Conflict

Sometimes the hauler empties the dumpster on Tuesday morning but the restaurant only allows you Wednesday afternoon. That is fine; the next day after pickup is still a good time to clean. What you want to avoid is cleaning a full dumpster pad the day before pickup, when trash is piled on it.

If an account's window makes the route work badly, say so. Many customers will widen a window once they understand you are trying to clean right after pickup.

Let the Site Know You Are Coming

Automatic reminders the day before and on-the-way and arrived alerts by text and email help a lot on commercial stops. A kitchen manager who gets "on the way" can open the enclosure and roll the grease bin aside. A school office that gets "arrived" knows who is in the lot. Make sure the site contact is the one getting them.

When a Window Is Missed

Routes run late. If a crew reaches a restaurant after its window closes, they should tap Skip with the reason ("past time window, lunch service started"), not clean anyway. The office sees the skip and can text the contact to set a new time, then move the job to another day on the board.

A skipped stop with a reason is a customer service conversation. A pressure washer in the middle of lunch service is a lost account.

Review the Windows Every Season

Business hours change. A restaurant adds breakfast, a school switches to a later start, a church adds a weekday program. A window that worked in spring may be wrong by fall. Once a season, go through your commercial addresses and confirm each window with the site contact by text. Update the notes on the address so the crew and the dispatcher see the new hours. It takes an hour and saves a month of missed windows and awkward skips. Crews notice changes first, so ask them to mention anything new they see on site.
